How to Negotiate a Freelance Rate on a Client Call: Scope First, Then the Number

Published October 26, 2026 · Updated October 26, 2026 · 7 minute read

The client call is in an hour and they will ask what you charge. This playbook gives you the order to run the call in, the exact lines for the rate and the pushback, and one rate call worked through to the written confirmation.

Quick answer

To negotiate a freelance rate, set your ask and walk-away before the call. Confirm the scope first, then state your rate once with its unit and what it covers. If the client pushes back, offer a smaller scope or different terms at your rate. Confirm the rate, scope and payment terms in writing.

How do you negotiate a freelance rate on a client call?

Set your ask and walk-away before the call, confirm the scope before you say a number, state the rate once, and trade scope or terms for any reduction. Then put it in writing before you start work.

The order matters. A rate said before the scope is agreed can get compared with every other number the client has heard. A rate said after it is a price for this exact work. Our method is five steps, and we call it scope first.

  1. Prepare three numbers and a trade list. Your ask, your walk-away and the hours you expect. Then three things you could remove or change. Expect to use at least one.
  2. Play back the scope. Summarise what they need, in their words. Expect corrections. Each one is a reason the price can move.
  3. State the rate once. Name the figure, the unit and what it covers. Then stop. Expect a pause or a budget.
  4. Trade, never discount. If the budget is lower, offer a smaller scope or different terms at your rate. Expect the client to choose.
  5. Confirm in writing before work starts. Rate, scope, revisions, payment terms and start date. Expect it to catch anything you each heard differently.
The lens: what a buyer hears when you cut your rate

To a client, a lower rate for the same work suggests the first number was padded. In our view, that makes every future quote easier to push on. A scope trade tells the client the number was real.

How should you prepare before negotiating your freelance rate?

Work out your floor from your costs, compare it with what the same hours would earn elsewhere, and set the walk-away at the higher of the two.

Estimate hours for the scope you expect, then add a margin for what you don't know yet. If the scope changes on the call, the estimate changes with it.

What should you say when you state your freelance rate?

Say the figure, its unit and what it covers in one sentence, then stop talking and let the client answer.

The momentSay this
Before any number.Let me play back what you need, so the price fits the work.
Stating the rate. For [scope], it's [amount] per [project / hour], including [revisions].
After the number.Say nothing. Wait for their reply.
They ask for your hourly rate.My rate is [amount] an hour. For this scope, I'd quote [total].
They want a number now.I'll send a fixed quote by [day] once we've agreed the scope.

What to listen for after the number: a question about the scope means they are still buying. A budget figure means the negotiation has started. A silence means they are thinking, so let them.

What should you say if the client pushes back on your rate?

Ask what budget they have, then offer a version of the work that fits it at your rate. Never the same scope for less.

When they say: That's more than we budgeted.

Understood. What budget are you working to? I'll show you what fits inside it.

When they name a lower figure:

At [their budget], I can do [smaller scope]. For the full scope, it stays at [ask]. Which matters more to you?

When they say: Another freelancer quoted less.

That's fair to check. Does their quote include [revisions / deliverable / timeline]? If not, let's compare like for like.

When they ask for a discount on volume:

I can do [lower rate] if you commit to [term or hours] and pay [deposit] up front.

Why it works: each line keeps your rate fixed and moves something the client values instead. When you do move, you get a named term back.

What does a freelance rate call look like from start to finish?

It is the five steps above on one call, and it ends in a written confirmation and a deposit.

For example: [Leah] is a freelance designer quoting a [six-page site redesign]. Her cost floor is [$105] an hour. She estimates [75] hours, so her walk-away is [$7,875] for the full scope. Her ask is [$9,000].

  1. Scope playback. The client adds [a blog template]. Leah says that adds [six] hours. Her estimate rises to [81] hours, which moves her walk-away to [$8,505].
  2. The rate. For six pages and the blog template, with two revision rounds, it's [$9,000]. She stops.
  3. The budget. The client says [$6,500] is the limit.
  4. The trade. At [$6,500], I can do [four pages] with one revision round. The full scope stays at [$9,000].
  5. The counter. The client asks for all six pages at [$8,000] with one revision round. Leah prices the dropped round at [eight] hours. That leaves [73] hours, which [$8,000] covers above her floor.
  6. The close. She agrees, adds that extra rounds bill at [$105] an hour, and asks for a [40%] deposit before work starts.

Leah moved [$1,000] and got a smaller scope, a deposit and a paid rate for extra rounds in return. The rate per hour of work did not fall below her floor.

How do you negotiate a rate increase with an existing client?

Give notice before the current terms end, name the new rate and its start date, and offer a trade if they want to keep the old rate longer.

Opening the renewal call:

Before we plan [next quarter], I want to flag my rate. From [date], it moves to [new rate] for the same work.

When they say: Can you hold the old rate?

I can hold [old rate] until [date] if we agree [a longer term / a fixed monthly retainer] now.

Our rule of thumb: raise it on a call at least one billing cycle before it applies, then confirm in writing. In our view, a rate change that first appears on an invoice invites an argument.

How should you confirm the negotiated rate?

Send a written recap the same day and treat nothing as agreed until the client confirms it in writing.

Thanks for today. To confirm: [scope], at [rate or total], with [revisions]. Extra rounds bill at [hourly rate]. Payment: [deposit] before we start, the rest within [days] of delivery. Start date [date]. Please reply to confirm, and I'll send the contract.
  1. Name the scope as deliverables, not as a description.
  2. State what costs extra and at what rate.
  3. Put payment terms and the deposit in the recap.
  4. Start work only after the written yes.

What goes wrong when freelancers negotiate their rate?

In our view, the riskiest minute is the one right after you say the number.

Frequently asked questions

What's a good hourly rate for a freelancer?

There is no single right number. Start from your floor: the yearly income you need plus business costs, divided by the hours you can actually bill. Then check what clients in your field pay, from sources you can name.

How do I answer, “How much is your rate”?

Give one figure with its unit and what it covers: my rate is [amount] an hour, and for this scope I would quote [total]. If the scope is still unclear, offer a fixed quote by a set day instead.

How do I negotiate a freelance rate via email?

Use email for the quote and the confirmation, and a call for the pushback. If it must stay in email, answer a lower budget with two options: a smaller scope at their budget, or the full scope at your rate.

How do I tell someone my hourly rate?

State it plainly, once, and stop: my rate is [amount] an hour. Add what it covers if that is not obvious. Avoid softeners such as roughly or flexible, which invite a counter.
