Fireflies, Otter or Fathom for sales calls? What to look for first
The transcript arrived and the summary was accurate. Now you are choosing a tool for sales calls, and the vendor pages sound alike. Here are four criteria to judge any of them by, and the question to ask each vendor.
Judge an AI notetaker for sales on four things beyond capture. Does a bot join the call? Does help arrive during the call, while the moment is still open? Does one file link your preparation, the live call and the follow-up? Is it built for sales calls? Ask each vendor to show all four on your own call.
What are AI notetakers good at on a sales call?
AI notetakers are strong at capture: transcripts, summaries, action items and follow-up drafts. Keep that gain. A seller who is not typing notes can watch the buyer.
- Fireflies. Its page says it can “transcribe, summarize, search, and analyze” team conversations and “generate follow-up emails”. Fireflies.
- Otter. Its page describes a summary “with decisions, action items, and insights” and says it “automatically follows up in the tools you already use”. Otter.
- Fathom. Its page offers “Shockingly accurate transcripts, instant summaries, and action items” and “instant follow-ups”. Fathom.
These pages now also describe help during the call, or capture without a bot. Otter describes “Live-Assist coaching” and desktop recording “without bots joining the call”. Fireflies describes “Live Assist”, and Fathom says “bot or no bot”.
So the choice is not notes or no notes. It is what a tool does for your next sales call, and how. Read each vendor’s current page yourself, because these features change.
What should you look for beyond the notes?
Look for four things a sales call needs beyond an accurate record. Ask every vendor the same questions, and ask them to show the answer on your own call.
| What to look for | Why it matters on a sales call | What to ask the vendor |
|---|---|---|
| How it listens: a bot, or no bot. | A new name in the participant list is one more thing to explain as the call opens. | “Does anything join the call or appear in the participant list?” |
| Help during the call, not only after. | The price question gets answered in seconds. A summary the next morning cannot change that answer. | “When does a prompt arrive, and when does it stay quiet?” |
| One file from preparation to follow-up. | What you researched, rehearsed and promised should reach the call and the follow-up without re-reading. | “Does my preparation reach the live call and the follow-up email?” |
| Built for your line of work. | A discovery call, a demo and a negotiation need different cues than an internal meeting. | “Which sales calls does it coach, and which signals does it read?” |
Here is the NextSay Sales answer to each, in its own product terms.
- A bot, or no bot. NextSay Sales: Copilot listens beside the meeting through the device microphone; no bot joins the call.
- Help during the call. NextSay Sales: Copilot surfaces the next move and the Key Signals while the moment is still open. A card appears only when it beats what you were about to say.
- One file. NextSay Sales: the Planner, Intel, Roleplay, Copilot and Debrief agents work each call together and share one file. What was prepared, rehearsed and promised reaches the live call and the follow-up.
- Built for sales. NextSay Sales: NextSay has a desk per line of work. On the sales desk, Copilot coaches discovery calls, demos and negotiations live.
Where your state or theirs requires it, tell the other person the call is being transcribed and get their consent.
How do you test the four criteria on one real call?
Test on one booked sales call, asking the same four questions of every tool. This is our method, not a test result.
- Before the call, write down what you prepared. One line on the buyer, one on the objection you expect, one on what you will ask for.
- As the call opens, look at the participant list. Note whether anything new joined, and whether you had to explain it.
- During the call, note when help arrived. Did a cue come while you could still use it, or after you had already answered?
- After the call, check the record against your notes. Each commitment should appear in the words said, with nothing added.
- The next morning, read the follow-up draft. Does it hold what you prepared and what was promised, or only a recap?
For example: [Priya] runs a discovery call with [the operations director] at [a logistics firm]. Her prep note says the buyer will likely raise [a contract with the current vendor that renews in March].
When they say: “We’re locked in with [current vendor] until [March].”
“That helps. What would need to be true by [January] for a change in [March] to be worth the work?”
Why it works: it turns a contract date into a decision timeline, so she learns who decides and when.
After the call, she looks for her own promise in the record: “[I’ll send the migration plan by Friday].” She scores each tool on the four criteria, not on whether the deal moved. One call cannot show that.
What goes wrong when sales teams choose a notetaker?
Most mistakes come from judging a tool on the demo instead of on your next call.
- Comparing transcripts only. Capture is what these tools are built for. Fix: once capture is good enough, compare them on the four criteria.
- Treating a recap as a follow-up. A recap describes the meeting. A follow-up holds each promise with an owner and a date. Fix: check the draft against what was actually said.
- Testing on a demo call. A vendor demo has an easy buyer. Fix: test on a call you have already booked.
- Relying on last year’s feature list. Several of these pages now describe live help or capture without a bot. Fix: read each vendor’s current page and ask them to show it.
- Skipping consent. Any tool that transcribes a call raises it. Fix: where the law requires it, tell the other person the call is being transcribed.
The routine for the hour after the call is in what to do in the hour after a sales call.
Where does NextSay Sales fit next to a notetaker?
On NextSay Sales, five specialist agents work each call together and share one file. Here is what each does, in order.
- Before the call. The Planner Agent sets up the call through dialogue, and what it settles becomes the deal file everything else attaches to. The Intel Agent researches the company and the person, with linked sources. The Roleplay Agent rehearses the call against an AI counterpart built from your own deal.
- During the call. Copilot reads Buyer Concern, Readiness Signal, Risk, Commercial Terms, Decision Path and Commitment. It transcribes the live call as it listens, so the record it leaves is transcript-backed.
- After the call. The Debrief Agent writes every commitment in the words actually said, honest call metrics, and a follow-up drafted from real promises only.
NextSay does not guarantee outcomes, close deals automatically, or replace professional judgment. See the NextSay Sales overview or how NextSay Sales works.
Frequently asked questions
Are AI notetakers like Fireflies, Otter and Fathom good for sales calls?
They are strong at capture. Their pages describe transcripts, summaries, action items and follow-ups, and some now describe live help. Check each current page, then test on your own call: does help arrive while you can use it, and does what you prepared reach the follow-up?
Does an AI notetaker have to join the call as a bot?
Not always. Otter and Fathom describe capture without a bot on their pages, and Fireflies says it joins meetings when invited. NextSay Sales listens beside the meeting through the device microphone; no bot joins the call or appears in the participant list.
What is the difference between a notetaker and live sales guidance?
A notetaker’s core job is the record: transcript, summary and action items. Live guidance acts during the call, while the buyer is still talking. Some notetakers now describe live features, so ask each vendor when a prompt arrives and when it stays quiet.
What should you do with a sales call transcript?
Within the hour, pull each commitment out in the words said, with an owner and a date. Write the follow-up from those lines, update the record with what the buyer said, and book the next call.
What does NextSay Sales do on a sales call?
Copilot coaches discovery calls, demos and negotiations live. It surfaces the next move and the Key Signals while the moment is still open, and only when a card beats what you were about to say. Afterward, the Debrief Agent writes the record and a follow-up drafted from real promises only.
Prepare your next sales call in one file, then run it live.
NextSay Sales is the sales desk of NextSay AI: it prepares, researches and rehearses each sales call, guides the live call with the next move and Key Signals, and writes the record and follow-up. No account is needed to try it, and NextSay opens on the Sales desk.
Where your state or theirs requires it, tell the other person the call is being transcribed and get their consent.
